Does Hubstaff Record Your Screen, Audio, or Camera?

No. Hubstaff does not record your screen as video, does not record audio, and does not access your webcam. What it captures is a much narrower set of things: still screenshots at intervals, input timing, and depending on your organization's settings, the names of applications and websites you use.

The gap between what people assume and what actually happens is wide here, and it causes real anxiety. This guide lists every data type Hubstaff collects on a desktop, marks each one as on, off, or optional, and explains the setting behind it.

What Hubstaff records: the complete list

Here is every category of data the Hubstaff desktop app can collect, and whether your organization controls it.

Does Hubstaff record audio?

No. Hubstaff has no audio recording feature and does not request microphone permission. Nothing you say near your machine is captured, including during calls.

This question comes up often enough that it is worth explaining why. Some monitoring tools in adjacent categories, particularly call-center and sales-coaching software, do record audio, and people who have used one of those reasonably assume all monitoring software works the same way. Hubstaff sits in the time-tracking category, and time trackers do not touch the microphone.

If you want to verify this yourself rather than take our word for it, both Windows and macOS expose which applications have used the microphone. Check the privacy panel and look for Hubstaff in the microphone list. It will not be there.

Does Hubstaff record your screen as video?

No. There is no continuous screen recording. What exists is a screenshot feature that captures individual still frames, at most three per 10-minute block, at randomized moments.

The practical difference is large. A video recording would capture every action in sequence, including everything between two moments. Three still frames per ten minutes capture roughly 3 instants out of 600 seconds, which is about half of one percent of the elapsed time. The other 99.5 percent is not recorded in any form.

Can Hubstaff access your camera?

No. Hubstaff does not request or use webcam access on desktop. There is no feature that overlays a photo of the person onto a screenshot.

That last part is worth stating explicitly, because the question is usually phrased as a comparison: does Hubstaff take screenshots with the employee's face on them, the way some other tools do. Certain monitoring products in this market do offer webcam capture as an add-on. Hubstaff's desktop screenshot feature captures the screen only.

As with the microphone, your operating system's privacy settings are the independent check. The camera permission list on Windows and macOS will not include the Hubstaff desktop app.

Why does macOS say Hubstaff accessed my screen thousands of times?

That number comes from the macOS privacy report, and it counts permission checks rather than screenshots taken. Seeing a figure in the thousands over 90 days does not mean thousands of images were captured.

The desktop app holds the screen recording permission because that is the API macOS requires for any screen capture, including a single still image. The system logs an access event each time the app touches that API. The app also uses it for things other than screenshots, such as detecting which window is in the foreground for app tracking.

If you want the real screenshot count, look at your timesheet rather than the privacy report. Multiply your tracked hours by the per-hour rate for your organization's setting: 18 per hour at the maximum, 6 at one per 10 minutes, 0 if screenshots are off.

Does Hubstaff track mouse movement?

It tracks that mouse movement happened, not where the cursor went. For each second of tracked time, it records a simple yes or no: was there at least one mouse or keyboard event during that second.

There is no cursor path, no heatmap, no coordinates. The stored value per second is effectively a boolean, which is exactly what one Bing searcher was describing when they asked about keyboard and mouse movement being stored as true or false every second. That is a fair description of the model.

Does Hubstaff record what you type?

No. Hubstaff is not a keylogger. It registers that a key was pressed during a given second and discards everything about which key it was.

Passwords, messages, documents, and search queries are not captured through the keyboard. They can appear in a screenshot if they are visible on screen at the moment one is taken, but that is the screen capture path, not a keystroke log.

App and URL tracking: the part that is genuinely optional

Hubstaff can log which applications you have in the foreground and which websites you visit, but both are settings the organization turns on or leaves off. Plenty of teams run Hubstaff with these disabled and only use time and activity.

When enabled, what gets stored is names and addresses with durations attached, not contents. App tracking records that a browser or an editor was in the foreground for a stretch of minutes. URL tracking records the address of a page, which on many sites reveals quite a lot, and on others reveals almost nothing.

This is the setting most worth asking about, because it is the one that varies most between organizations and the one people most often assume is on when it is not.

What about phones and tablets?

The desktop app does not capture anything from a phone or tablet, even one signed into the same Hubstaff account. Desktop tracking covers the desktop only. Multiple connected monitors are a different matter, and are covered in our multi-monitor guide.

Hubstaff does have mobile apps, and they exist mainly for field teams who need location-based time tracking. Those apps can use GPS. They are a different product surface with different permissions, and installing the desktop app does not enable anything on your phone.

Touchscreen input on a Windows laptop is a separate question. Touch events generally register as input the same way a mouse click does, since the operating system reports them through the same input layer.

How to verify all of this yourself

You do not have to trust a vendor page or this article. Both major operating systems expose per-app permission usage, and checking takes about two minutes.

2. 2On macOS, open System Settings, then Privacy and Security, and check Camera, Microphone, and Screen Recording.
3. 3Expect to find Hubstaff under Screen Recording, since screenshots require it, and to find it absent from Camera and Microphone.
4. 4For network behavior, a firewall tool that shows per-app connections will confirm the app talks to Hubstaff's servers and nowhere unexpected.

If you find something that contradicts the list above, that is worth raising with your IT team, because it would mean something other than a standard Hubstaff install is present.

The real limitation, and where Ghost Mode fits

Hubstaff collects less than most people fear, but the thing it does collect has a genuine flaw: input timing is a poor proxy for work. Reading a specification, sitting on a call, sketching on paper, or thinking through an architecture all produce almost no input and score close to zero.

That is the gap Ghost Mode addresses. It generates natural mouse movement, window focus changes, and keystroke timing so that real work involving little typing is not scored as idle. It works on the input signal, which is the thing being measured.

It does not alter screenshots, app logs, or URL logs, and we would rather be clear about that than imply otherwise.
